Manual synchronisation of Synergetic data into CareMonkey requires exporting the data from Synergetic and importing this data into CareMonkey using spreadsheets. The following steps will guide you through this process.
Importing Student Details into CareMonkey from Synergetic
In order to add student details in CareMonkey, administrators export Synergetic data into spreadsheets. These spreadsheets are then manually uploaded into CareMonkey by a CareMonkey administrator. Before uploading the spreadsheet to CareMonkey the data must be in a specific file format. Information on the file format can be found in the following article, Spreadsheet for uploading profiles.
Administrators are required to manually repeat this process when students and groups (classes) need to be updated in CareMonkey.
The need to update data can be prompted by a variety of factors including, but not limited to, new enrolments, school leavers, or changes on individual student information.
School photographs can be manually uploaded into CareMonkey profiles by the administrators. More information about uploading photos can be found in the article, How does an Administrator upload Profile Photos.
This process would require administrators to periodically update School photographs (for example, when new year photographs are taken). It also requires administrators to manually upload photos when new students are enrolled at the school.
Managing Groups (Classes and Year Levels)
Existing groups in Synergetic can be exported into spreadsheets together with student details. When loading these spreadsheets the related groups will be created in CareMonkey. How to include groups in the spreadsheet can also be found in the article, Spreadsheet for uploading profiles.
Any updates of groups in Synergetic must be manually updated in CareMonkey using the method described above.
Similarly to the student’s process, this process involves manually exporting staff details into a spreadsheet and uploading this information into CareMonkey. More information on file format can be found in the article Spreadsheet for uploading Staff Carers.
Administrators are required to manually repeat this process when staff details need to be updated in CareMonkey.
Similarly to the student’s process, this update process can be prompted by a variety of factors, such as new staff, staff leaving the school, or updated individual staff information (eg. new mobile phone number).
CareMonkey’s medical information is either accessed solely from the CareMonkey platform or it is copied manually from CareMonkey and pasted into Synergetic.
CareMonkey provides reports to highlight any new data provided by parents, but administrators are still required to manually copy this information into Synergetic to keep the Synergetic database up to date.
If a school wishes to have a copy of the medical data collected by CareMonkey in their Synergetic database it is the school’s data administration's responsibility to manually collect the data and place it into Synergetic.
